These booking conditions are set to clearly and simply define our responsibilities as the Tour Operator (“we”/”Us), Indigo Bournemouth Ltd, registered address: 186 Capstone Road, Bournemouth, BH88RT, registered in the UK, company number: 10414134, to “You”, “The Traveller” and any member of your party (“You”) Therefore all parties or at least the lead passenger should read all the terms and conditions and understand its contents. By booking or participating in any tours or other service provided with us, you agree to these terms and conditions.
All trips on the brochure and website are operated by Indigo Travel except: weekend trips (unless specified) and UK Day trips departing from Brighton, which are organised and operated by Discovery Tours Brighton Ltd. All Day trips departing from London are organised and operated by Student Tours Ltd.
All third party operators are named on your booking confirmation and therefore subject to their own terms and conditions which are available directly on their websites.
All our group tours are operated by Indigo Travel Bournemouth and contracted directly to us.
Should we book any transfers or pre-post accommodation, it will be subject to the conditions of the respective service provider such as hotels, Eurotunnel bookings, ferry bookings and coaches.
By booking a tour or service provided by the tour operator, you have recognised that you have read, understood and agreed to be bound to this Terms. If you are making a booking on behalf of others, you guarantee that the party is aware and understand the Terms or you have the authority to accept the Terms on their behalf.
There are the Terms on which we operate and sell our services to you. Before placing any order with any of our agents such as school social organizer, school agents or any other Indigo agent plus our website online booking system, you will be asked to agree with this Terms and Conditions by clicking a button marked “I Accept”. If the Lead passenger does not accept by clicking the button on our website, the Order will not be completed.
If any public authorities such as immigration officers or police, or credit checking companies require any passenger information, the information will be provided.
The Lead Passenger (as understood by the first named passenger) is over 18 years of age and understands all members of the party are of appropriate age to purchase the services.
Your booking is confirmed and a contract begins with Indigo Travel once a written confirmation is given, after receipt of the deposited amount. Passengers are responsible for all their personal information to be correct and any discrepancies should be immediately notified to Indigo Travel.
It is vital that the Lead Passenger is of at least 18 years of age to make a contract for any overseas travel or/and any overnight travels.
BOOKING MORE THAN 1 PASSENGER:
The Lead Passenger is responsible, for all the monies to be paid in total for the party travelling and agree to be the designated responsible for any monies to be paid due to the date agreed by us. Any online payments should be paid immediately after reservation.
The Lead Passenger also agrees to be the designated person for contact about any information required from your party.
The Lead Passenger is responsible to make sure You (all party including the Lead Passenger”) have obtained all consents and documents required to travel including travel documents and visas. Under no circumstances the tour operator be liable of any information errors whole completing booking or any travel documents failed to be obtained by the time the tour departs.
We consider group bookings to be of 10 passengers or more. Group bookings are subject to the prices given by our group reservations team. After quotation has been given, payments are set below:
- 10% paid by on confirmation
- Full payment by 6 weeks before departure.
Price and Payments
Some tours offer a deposit scheme of 10% to secure seats for you or the party being booked. Full payment will be required 35 days before departure.
Payment of the balance of the tour is due at 35 days, for any European Trip and/or Overnight UK Tour before the tour departs or 14 days for any UK Day Trips.
Prices may vary at any time depending on demand of the tour, market conditions, promotions, exchange rates (if booking in another currency other than Sterling Pound GBP £) and availability. It may be likely that some passengers may have paid different prices for the same tour. It is advised to purchase a tour as soon as it is available as to avoid any raise on price.
If you receive a written quote from us, the price will be locked until the payment has been made or quote’s expire date.
The Tour Operator reserves the right to impose any surcharges of services or any product for reasons arising from increases of transport costs, fuel costs, taxes or government action or fees, which affects the price of our products.
In the case of any increased equivalent to 2% or less of the prices of tour travel arrangements, excluding any amendment charges, optional tours, insurance, and other travel arrangements, the price will be absorb and not be charged. You will be charged for any amounts above 2% plus any administration charges or PayPal charges, if applicable.
If any increases are more than 10% of the trip price, you may cancel within 14 days of notification of such surcharges and obtain a full refund with no penalties, except for any insurance, premiums or other travel arrangements. You may also change to any other available tour, if we are able to offer one.
Failed to notify us by 14 days after being notify, we will consider you deemed to have accepted the price change and liable for payment of the increase.
Once the booking is created and paid, currencies cannot be changed. Any pre-existing promotions that the passenger were not aware before making and paying the booking, it cannot later be amended to readjust to the promotional price. If you wish to cancel the tour to then be able to take advantage of the cheaper advertised price, cancellation conditions apply.
We reserve the right to change the price of any unsold tours and trips with deals and/or discounted promotions at any time and correct any in prices on published materials such as posters, brochures or online banners through the website and social media portals.
This discounts apply to new bookings made during the promotional period and cannot be applied to existing bookings.
The final price of your confirmed tour is subject to changes in transport costs such as fuel, channel crossings, costs change due to government actions such as changes in VAT or taxes, currency exchange rates.
We will absorb the equivalent of 2% raise in any cost and you will not be charged. Any amount above that, you will be charge £1.00 per person.
If this means the increment equals to more than 10% of your final payment, you will have the option to change the departure date to another holiday of choice – if we are able to offer one. If this means the choice equates to a different tour of a higher price, we will into charge any extra. However, if the tour chose offers a lower price, we will give you a refund of the difference in price.
If you choose to cancel the tour due to the reasons explained above. We are able to offer a full refund. In general, such changes rarely affect your bookings as advance preparation has been implemented to not affect travel arrangements.
For our weekend breaks and European Magic, it is essential to possess a travel insurance during our tours. Therefore, travel insurance details will be asked before joining the tour. We are not able to accept passengers that do not have the correspondent travel insurance while travel. If you choose to travel without travel insurance, we are not liable for any losses during the tour as most travel insurance cover such incidents.
Please note we do not check travel insurance policies.
The booking information provided by You will only be passed on to relevant suppliers such as coach, ferry or train services and hotels/hostels which would require passenger information.
Necessary details by us vary by trip, including: Full name and nationality. Overnight travels will require date of birth or age and tours which are longer than 4 days, will require information such as passport number, expiry/issue passport dates, dietary requirements and pre-existing medical conditions.
We may request your insurance policy number.
Failure to provide any details may result in cancellation.
indigo Travel is not liable for any errors on information given to us while booking our tours.
In order to process your booking, we require certain personal details from you. These will include, when applicable: names and addresses of travellers, credit/debit card payment details, phone number, email address, passport number, nationality and any special requirements needed by you for us to satisfy and may disclose your religious beliefs. We pass this information to suppliers such as hotels in order to process your booking. We also provide this information to transport supplier and public authorities such as immigration officials, if required by them or by the law. When all the information mentioned has been pass onto us, you accept and agree how these information will be management thereafter by us.
We have the appropriate security systems in order for all the personal details mentioned above to stay with us.
We do not pass your information to any 3rd parties unless those mentioned above.
Indigo Bournemouth Ltd can use any photos or videos taken during the tour with you present in them for promotional material either printed or on the Internet.
We ensure all our prices are accurate in any printed advertisement, promotional material or our website. However, occasional errors may occur therefore, we reserve the right to correct any price errors in promotional materials and/or website if such circumstances arise. We ask all potential passengers for our tours to check all prices and details before booking.
The Tour Operator is not responsible for able charges applied to you and/or your party by third parties or financial institutions as a result of credit card or other form of payment transactions and will not be refunded or be liable to us.
On weekend breaks, our standard accommodation offer consist on the following:
- Edinburgh: 4-6 people sharing in a room with bunk beds and ensuite toilets.
- Paris: 3 people sharing in a room (3 single beds) with ensuite toilets
- Amsterdam: 3 people sharing in a room (1 double bed and one single bed) with bunk beds or twin room (2 single beds) with ensuite toilet.
On European Magic, all accommodation offered are based on twin rooms (2 single beds or 1 double and 1 single bed) with ensuite toilets.
If the quantity of the party booking is greater than the beds in a room, we will accommodate at our discretion the rest of the party to share, in a same-gender basis, with other members of our group unless specified by the main traveller when booking.
On European Magic, we are able to offer triple rooms but cannot be guaranteed at each place. Extra beds may be sofa-beds, bunk-beds or fold-away beds.
Solo travellers will be accommodated in a same-gender basis with other members of our group.
Ratings and Reviews:
Accommodation rates are provided by the supplier and displayed as such. We tend to use accommodation that have a higher standard on Booking.com equal to or above 7/10 and on TripAdvisor equal to 3.5/5 or above.
Check-In and Out:
As a general rule on Europe, check-in times at around 15:00hrs and check-out at around 10:00hrs. Therefore we usually arrive to hotels later than check-in time in order to fully enjoy the place being visited and make sure the hotel is fully prepared for our group’s arrival.
We normally depart the hotel at around 08:00hrs. If by any chance, an optional tour has been offered on the same day of check-out but the traveller did not join the tour, the accommodation will expect the traveller to check-out no later than the time stated by the supplier.
Meals are included as per specified on each “What’s Included” section on each tour page. Visit the tour page to see what specific meals are included on the tour.
Specific dietary requirements can be met but only if notified to us before the tour starts. We require at least 72 hours notification to arrangement the necessary information to give to the accommodation. In the case of a religious diet we may be able to offer halal/kosher food or vegetarian meals.
Non-included meals are at your own expense.
We recommend purchasing any snacks for when travelling the coach before hand as we may not be able to accommodate such times at least during the first 10 hours of weekend breaks and European Magic.
We do stop every certain time for the driver to have a break, which will be done in a service station. We cannot always guarantee hot meals available at each stop as sometimes, driving breaks happen far from restaurants, cafes or cities/towns that offer such facilities.
Passports and Visas
It is your responsibility to acquire the necessary visa to join our tour and to comply with passport requirement for the duration of our tour. We can give essential passport and visa information if requested. For Schengen visa information please visit the following page:
It is yours and your party’s responsibility to confirm any necessary information with embassies and/or consulates.
We do not accept any responsibility should you not comply with any visa or/and passport requirements. Any arrangements that may incur if such an event arises, we do not accept any liability with passport loss, passport arrangements, visa or immigration requirements.
In general, most country require at least 6 months validity from the last day of your tour.
Updated advise can be found from the Foreign and Commomwealth office, website: www.fco.gov.uk which has teamed up with the NHS to provide the best up-to-date information before travelling abroad. Check their website: www.fco.gov.uk/beforeyougo. Non-British citizens must check with their respective Embassy, High Commission or Consulate of your destination for passport requirement’s information.
All travellers must confirm to the company that they are fit to travel and be able to undertake and complete the tour chosen. If you have any medical condition, disability or have special requirements that may affect your holiday, we will need to be notified prior to the tour starting date in order to be able to notify the necessary suppliers. Any Traveller with any medical conditions should make provision for any treatment or medication required during the trip.
Persons over the age of 55 years old are not able to book European Magic tours. We do not accept children under the age of 18 without a guardian who will be fully responsible and liable for the minor. Unaccompanied minors are not accepted. No person under the age of 10 years old will be accepted unless part of a private, school or tailor-made tour.
Indigo Travel reserves the right to allow or deny any minors on our tours at our discretion.
Any failure to make clear of existing health conditions may result in termination of contract and all the monies paid to the Company will be forfeit.
All our Weekend Breaks and European Magic tour require a considerable amount of walking. We may include public transportation when needed to accommodate the itinerary. Coaches are subject to driving hours and coach drivers must follow EU regulations on driving.
We reserve the right and Travellers agree to accept the authority of any team member of Indigo Travel to exclude any member(s) of the group before or during the tour that may through misbehaving or becoming ill, endanger other passengers’ health, safety, comfort or/and enjoyment of the tour. This exclusion may be done for part or all the tour duration.
In case of illness, we make such arrangements as it sees fit and recover any costs from the Traveller.
If a passenger is excluded due to the circumstances mentioned above or the Traveller decided to leave the tour, we will not issue any refunds of the tour cost, necessary travel or transport arrangement, or any extra charges.
Any of the necessary arrangements may be able to be organized, in some circumstances by the travel insurance company.
If your party behaves below acceptable standard, we may be need to ask your party to be excluded from the tour, specially if any other member of our tour group has been affected. We have no obligation to issue any refunds if exclusion happens due to unacceptable behavior. Any damage that may occur to any of our suppliers such as coaches, channel crossing transport (Eurotunnel or ferries) or hotels will have to be required to be paid by you.
All those joining our tours are expected to follow and obey laws and regulations imposed by the country(ies) being visited.
We, Indigo Travel accept no responsibility and are not liable for any loss or damage to any personal belongings including passports or any documents. We recommend that you take insurance against loss or damage to personal possessions.
Cancellations or Changes by You
If you cancel your booking with Indigo Travel, cancellation conditions apply. Any cancellation would need to be given to Indigo Travel in writing either by email or postal letter to our address.
Deposits are non-refundable for individual, party bookings (up to 10 passengers) or group bookings (10+ passengers).
Cancellations will be determined with reference to the date of which the Tour Operator received cancellation notice and expressed as a percentage of the cancelled tour. The percentages are calculated as follows:

leaving the Tour
If a Traveller leaves a tour voluntarily before the tour completes, or it is required by us to leave due to the Traveller’s presence affecting negatively either the Traveller or the rest of the group and/or members of Indigo team, all liability that We may bear will cease immediately, including the right to a refund.
We bear no responsibility for the Traveller expenses such as transport, hotels or any other expenses that may incur in leaving the tour early. If a Traveller becomes ill, you should pay all medical expenses such as medical or doctor’s fees.
If you or any member of your party misses to join the tour on time, or any transport arrangement before or while on tour, you must contact us or any supplier concerned immediately.
We don’t accept any responsibility, however we will provide prompt assistance. We will be unable to cover costs such as meals, overnight accommodation or any cost resulting from a delay.
In the unfortunately event of missing a departure or is late during a tour, you may be left behind. If this happens, please contact your Tour Guide and they will provide information on how to join back the tour. Any cost incur in such event, will be at your own expense. The departure times from each location are set by your tour guide and will notify the entire group of timings. It is your responsibility to be on time as failure to do this will cause major delays on our itinerary.
Our tour guides and drivers have been carefully chosen and undergo training. All the team part on your tours comply with the necessary licenses and regulations. Coach drivers by law have “rest times” and are connected to our itinerary’ timings. Tour Guides are authorized to have deserved “free days” as part of our itinerary. Even though the team is on rest days, they are on call for emergencies.
Cancellation by us
We reserve the right to cancel or change any tour itinerary or departure dates without prior notice. It is unlikely any changes will be made to any tour.
It is strongly advised to take on a travel insurance to cover such circumstances.
If we incur a major change such as change or lower accommodation, change of transport type (from coach to metro), change on departure time or meeting point, we will notify you of such changes as soon as possible.
Changes during the tour
If we are unable dot provide a significant part of your tour while you are away, alternative arrangements will be made at no extra cost. This does not apply to minor changes such as change of accommodation, transport, itinerary or delays during channel crossings. If any extra costs incur due to unforeseen circumstances such as delays or accidents, the traveller must cover the costs. The traveller accepts the situation it is out of our control, which may prevent the itinerary as described to the traveller through our website, our brochure or any tour booking websites such as Viator or TourRadar.
Unless specified to your particular booking, we are unable to pay any compensation due to unforeseen circumstances and could not have avoided even with all due care, which have affected our contractual obligations to you. These events include but are not limited to war, civil unrest, terrorist event and consequences or threat of such event, riots, acts by local governments including ports, natural or nuclear disaster, chemical or biological disaster, fire, unfortunate weather or and any similar event outside our control. If the UK government issues any travel advise, we will follow with whatever the UK government body directs.
- We will accept responsibility for all the arrangements we agree to supply or arrange for you as an “organizer” under the Package Travel, Package Holidays and Package Tours Regulations 1992 as set out below. Subject to the booking conditions, if We in any of our suppliers carry out or arrange your contracted tour negligently, taking into consideration all relevant factors such as following the complaints procedure as described in these terms and conditions and the extent to which ours, our team or supplier’s negligence affected the overall enjoyment of your holiday, we will pay you some amount of compensation. Please not that it is your responsibility to show that we or our supplier(s) have been negligent if you wish to make a claim against us.
- We accept no responsibility or pay any compensation in the event of an injury, illness, death, loss or damage of property expenses, other costs or claims of any description if it results from the following:
- The act and/or omission of the person(s) affected
- The act and/or omission of a third party unconnected with the provisions of the services contracted for and which were unforeseeable or unavoidable
- Unusual or unforeseeable circumstances beyond our or our supplier’s control, the nature of which could not have been avoided even if all due care had been exercised; or
- An event which either Indigo Travel or our suppliers could not have foreseen even if all due care had been exercised.
We limit the amount of compensation we may have to give to you if we are found liable under this clause:
- Loss or damage to any personal belongings including luggage and money, the maximum amount we will be able to give you is £25 per person in total as it has been assumed the Traveller has acquired the necessary travel insurance to join our tours.
- Claims not falling under (a) or involving injury, illness, or death, the maximum amount we will have to pay you in respect of these claims is twice the cost of your travel arrangements. The maximum amount will only be paid when absolutely everything has gone wrong and your party has receive none of the benefits mentioned on the booking.
- We accept no responsibility for any optional activities that are not part of our itinerary; the contract for those optional activities will be a matter between the Traveller and the activity provider. The decision to be part of any optional activity not organized by is will be at your own discretion and risk.
- If any illness, injury or death occurs partaking any optional activity not organized by us, we will at our own discretion help when we can.
Optional tours and activities will be available on most of our tours, you have a choice to join the optionals or not. Even though they are offered by us, these tours and activities are not organized by us and we act as an agent of the local supplier. Should you participate, your contract will be with the local supplier and their conditions are applied.
We may suggest partaking in local activities and tours but we accept no responsibility from the services provided by local suppliers or any loss of personal belongings at such activities.
We make every effort for you to have the best time with us while on tour.
If you have booked a tour with us, please inform your Tour Guide if any concerns arise. You may also contact us through the office number, emergency number, email or WhatsApp number provided on our website and your booking confirmation. If your Tour Guide is unable to resolve the query, we ask to contact us within 14 days of your return home by writing to us. It is important that you communicate any complaint to the supplier of the service in question without delay. If any concern is directly with a supplier (e.g: Hotels), it is advised to address it immediately, locally, to them in order to assist you better.
Failure to tell us of any concerns with supplier(s) or any services provided affect our ability to investigate further and will affect your rights in this contract.
All the points mentioned in these Booking Conditions and any agreement to which they apply are governed by English Law. We both agree that any dispute, claim other matter that arises between us or in connection to your booking will be dealt by the Courts of England and Wales.
